Information we collect

Information you give us

  • Contact form and messages. Your name, email address, phone number, property address, property type, county, and anything you write in your message.
  • Engagement documents. When you sign up, your name, mailing address, property address, appraisal district account number, email address, and electronic signature.
  • Property details. Documents and information about your property that you send us to support a protest, such as photos, repair estimates, closing statements, leases, or income and expense records.
  • Phone and email. Information you share when you call or email us.

Property lookup

When you type an address into the property lookup, that address is sent to Google to suggest matching addresses and to our lookup service to find the matching appraisal district record. The record we show (owner of record, account number, property type, market value, and exemptions on file) comes from public records published by Texas appraisal districts. Owners that a district marks as confidential are not shown.

Information collected automatically

Like most websites, our hosting provider records standard technical information when you visit, such as your IP address, browser type, the pages requested, and the date and time. Some pages load fonts, maps, address suggestions, and images from third-party services, which receive your IP address and browser information when they do.

How we use information

  • To respond to your questions and requests.
  • To prepare your engagement documents and Appointment of Agent.
  • To file and pursue property tax protests on your behalf, including negotiations and hearings.
  • To report results to you, invoice our fee, and re-enroll your property each year.
  • To provide your client portal access.
  • To send you service updates and, where permitted, information about our services. You can opt out of marketing messages at any time.
  • To operate, secure, and improve our website.
  • To meet legal, tax, and recordkeeping obligations.

Who we share information with

  • Appraisal districts and review boards. Representing you requires giving the appraisal district and the Appraisal Review Board your name, property information, and evidence supporting your protest.
  • Service providers. Companies that help us run our business, including website and database hosting, form handling, electronic signature, address suggestions, the client portal, and email. They may use your information only to provide those services to us.
  • Legal and safety reasons. When required by law, subpoena, or court order, or to protect our rights and the rights of others.
  • Business transfers. If Vanguard is sold or merged, client records may transfer to the successor, which must honor this policy.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

How long we keep information

We keep client records for as long as we represent you and afterward for as long as needed to meet legal, tax, and recordkeeping requirements. We keep inquiries from people who do not become clients only as long as needed to respond and follow up.

How we protect information

We use reasonable administrative, technical, and physical safeguards, including encrypted connections to this website and access limited to people who need the information to do their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

  • You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. We may need to keep certain records to meet legal obligations or to complete a protest already filed.
  • You may opt out of marketing emails by using the unsubscribe link or by contacting us.
  • You may end our representation as provided in your engagement agreement.
  • Texas residents may have additional rights under the Texas Data Privacy and Security Act. We will honor those rights where they apply.
